Full Job Description

An experienced and motivated, administrative assistant is required to provide high quality support to Andrew Belson, Arboricultural Consultant, based at offices in Uppingham. The post-holder will be responsible for providing a range of administrative and clerical duties for the Arboricultural Consultancy.

The role will predominantly include:

· To research background information regarding sites as appropriate to the project

· Handle verbal and written communications professionally and courteously

· To populate template reports with client and project specific data

· To maintain a system of project tracking

· To extract survey data for production of tree health & safety reports, This role is to provide high quality administrative support to Andrew Belson, Arboricultural Consultant. The post-holder will be responsible for undertaking research specific to projects, the extraction of data from surveys to be included in reports, and a range of administrative, secretarial and clerical duties including customer liaison and maintaining a system of project management (currently Trello). Excellent organisational skills are essential for the post, as is a willingness to learn new skills relevant to the job.,

  • Providing a high quality secretarial and organisational support service, whilst prioritising own workload and managing time effectively

  • Receiving and dealing with telephone calls in a professional manner, taking messages and responding to voicemails. Using initiative to deal with queries and escalating issues when necessary

  • Monitoring emails and written correspondence - responding, escalating and filing

  • Ensuring that all relevant research into Local Planning Policy and Statutory Protection (Conservation Area/Tree Preservation Order) is complete ahead of report production.

  • Preparation of reports from templates.

  • Organising and maintaining effective filing systems (electronic)

  • Maintaining a client and project database.

    The post holder will be expected to manage their own time and workload. Excellent organisational skills are essential and as is the ability to work under pressure whilst maintaining accuracy and attention to detail. Excellent computer skills, including the use of MS Word and Excel are essential., Excellent standard of General education including GCSE English Language at grade C or above

  • Desirable:

  • Educated to A level standard or NVQ level 3/4 qualifications (or equivalent)

  • European Computer Driving Licence (ECDL) Advanced level

  • Use of AutoCAD software or equivalent

  • Previous experience in office administrative or secretarial role

  • Ability to organise and plan own work

  • Excellent communications skills (both verbal and written) and the ability to communicate with a wide variety of clients

  • Excellent attention to detail

  • Ability to deal with sensitive information with discretion and to maintain confidentiality at all times

  • Evidence of high level IT skills including Microsoft Word, Outlook and Excel.

  • Aptitude for and interest in learning new computer applications

  • At least 2 years experience as an administrator or personal assistant

  • Experience prioritising and planning

  • Experience of working in an environment requiring adaptations and adjustments in response to changing priorities, with time pressures and deadlines

  • Desirable:

  • Use of Microsoft 'Access'

  • Experience working in customer care environment

  • Experience of working for a small business.
