Full Job Description

Provide administrative support across the business to support the smooth running of activities. Ensure that Front of House runs efficiently and be the "face" of the company to clients and guests who will visit the office.,

  • Meeting and greeting visitors and signing them in and out

  • Deal with queries from public and customers

  • Ensuring all staff and visitors comply with the company's security and safety procedures

  • Maintain security by following procedures and controlling access

  • Answering, screening, and directing all incoming calls in a timely manner

  • Ordering and distributing supplies such as tea, coffee, sugar and fruit

  • Organising meeting rooms for client meetings

  • Ensure meeting rooms and reception areas are kept tidy

  • Manage office supplies including, stationery and kitchen/cleaning supplies

  • Supporting induction and management of onsite contractors

  • Support arrangement of contractor visits

  • Support coordination and monitoring of cleaning contractors

  • Running reports for Production when required

  • Coordinate management of site Duty of Care paperwork

  • Sorting incoming and outgoing post/courier deliveries

  • Arrange catering requirements for visits and meetings, as required and as requested by visitor hosts

  • Supporting the Executive Assistant with specific administrative tasks within the Exec Team function

  • Undertake ad-hoc general office administration duties as and when required

    Demonstrated experience in a similar Reception / Administration position


  • Skills / Abilities
  • Proficiency in Outlook, Internet, Word, Excel, and PowerPoint. Confidence to learn new systems quickly


  • Strong administration skills


  • A strong and proven ability to multi-task and prioritise issues


  • Strong interpersonal skills / ability to interact professionally with stakeholders at all levels


  • Possess strong verbal and written communications skills


  • Flexible, proactive, and outgoing
