Executive Assistant

We are seeking a highly organised and proactive Executive Assistant to join our dynamic team. As an Executive Assistant, you will play a crucial role in supporting Dr Mathias, and ensuring the smooth operation of his working day to make certain his time and energy is used where most valuable in the company. This position offers an exciting opportunity to work in a fast paced environment within the dental industry.

Responsibilities:

-Build a great partnership with Dr Mathias. Be able to predict movements.

-Manage calendars, appointments and meetings, ensuring efficient scheduling and coordination.

-Coordinate travel arrangements, including flights, accommodation, and itineraries.

-Ensure effective communication between team members.

-Take on a variety of projects that help the Executive, the company and you grow.

-Prepare and edit correspondence, reports, and presentations on behalf of the executive.

-Handle incoming communications, including emails, phone calls and inquiries with professionalism and discretion.

-Be the Executives eyes and ears and feedback any issues with the company

-Assist with project management tasks, such as tracking deadlines, coordinating team efforts and ensuring timely completion of deliverables.

-Conduct research and compile data as needed to support executive decision-making.

-Maintain confidential information and documents with the utmost discretion and integrity.

-Provide general administrative support

-Protect/make time for family, health, holidays and anything else the Executive wants to do!

Prior experience as an Executive Assistant (minimum 1 year)

-Ideally have a dental background

-Advanced Microsoft Office Skills and Google Docs

-Full driving license
