Full Job Description

We are seeking an experienced Executive Assistant to support the Directors in day to day operations and in areas of HR and finance., o Manage the diaries, travel and appointments for Directors.

o Arrange meetings for the Directors external and internal.

o Manage and reconcile MD and CEO expenses and office expenses.

o Complete bank reconciliations at the end of each month.

o Manage the payroll system.

o Assist Directors in the management of HR including inductions, leavers and HR policy maintenance.

o Advertising job vacancies and liaising with recruitment agencies, negotiating best rates.

o Obtaining new starter documentation and right to work details on new recruits.

o Induct all new members of staff.

o Maintaining staff files with relevant HR information.

o Absence Management: ensuring self certs and doctors notes are provided.

o Organise work social events such as Quarterly company meetings, Team activities and conferences and Christmas parties.

o Support the Directors in maintaining compliance with ISO27001

o Manage the health and safety, fire safety and DSE files and updates.

o Maintain knowledge and adhere to relevant company Policies and Procedures, Legislation and Regulations.

o Experience as a PA/EA

o Experience managing HR tasks an advantage

o Experience managing finance tasks and advantage

o Excellent time management skills with a good ability in multi-tasking and prioritising.

o Excellent written and verbal communication skills.

o Strong organisational and planning skills.

o Proficiency in MS Office, Excel, Word and Powerpoint.

Ability to demonstrate discretion and sensitivity in handling confidential business and personnel issues.
