Full Job Description

People are the very heart and soul of Oxfordshire Mind. The purpose of the HR function is to ensure that the right people are recruited, developed and able to thrive to deliver our vision of ensuring everyone experiencing a mental health issue gets both support and respect.

Working as part of the HR team, you'll provide a professional and first-class HR administrative and recruitment service to our internal customers.

About the role

  • Advertise vacancies via HRIS/Recruitment agencies/job boards and Social Media

  • Responding to general enquiries from applicants, candidates, and new starters

  • Setting up interviews, creating shortlisting and interview packs for interview panel; and feedback to interviewees

  • Process pre-employment process including ID checks, right to work checks, references and DBS, writing offer letters and contracts, inputting onto HRIS

  • Run HRIS Training for new staff and support the co-ordination the Oxfordshire Mind Welcome Day Event

  • Accurately input and maintain employee information on the HR system including completing offboarding and final holiday pay calculations

  • Manage the HR, DBS & recruitment inboxes

  • Complete relevant administration duties as directed by HR Business Partners, Line Managers and Head of HR including responding to HR queries, typing letters, contract variations

  • Support the HR team with adhoc HR projects and tasks as required

    Experience of working in an admin/support role or providing customer service

  • Strong interpersonal skills and a customer-focused approach

  • Strong verbal and written communication skills

  • Able to manage multiple tasks and prioritise effectively

  • Strong attention to detail and accurate data entry and record-keeping skills

  • Ability to handle sensitive information with discretion and maintain confidentiality

  • Familiarity of using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)

  • Has an understanding or passion for mental health and what we do


  • Desirable criteria
  • Experience of working a busy HR admin or recruitment role

  • Experience of HR and recruitment processes including scheduling interviews, speaking with candidates, completing right to work/DBS checks and drafting employment contracts

  • Experience of process improvement, streamlining and proactively developing internal processes to assist with efficient administration of the service

  • Familiarity with HR software

  • An understanding of HR policies, procedures, and HR admin/recruitment related employment law and compliance requirements
