Full Job Description

We have several offices in Central and Southern England and have ambitious plans to expand our business. To support the organisation's growth, we have created a new opportunity for a Recruitment Administrator (Temp) to join our Oxford HR team. This is a temporary full-time role which will last for approximately 2-3 months and will include flexible working options (flexing your hours on different days to suit your lifestyle). Reporting to the Recruitment Lead, your role will be to provide a proactive, efficient and high quality admin Recruitment service., Your key responsibilities will include:

  • Managing the Shaw Gibbs Recruitment inbox, responding promptly to queries and escalating emails to the wider recruitment team for assistance when required. Logically file emails into the relevant folder/s, ensuring important communications are easily accessible.

  • Assist in the initial review of candidates' CVs, asking questions when required and escalating strong candidates to the relevant recruitment team member.

  • Provide general administrative support across the entire recruitment process, including scheduling and booking Microsoft Teams interviews for the wider recruitment team, as well as creating interview packs for face-to-face interviews.

  • Liaise with the Hiring Managers and Partners to schedule interviews.

  • Become an expert in our Applicant Tracking System (ATS), Personio. Confidently manage the administration side of the applicant lifecycle. Run reports to analyse applicant statistics, provide summaries of these reports to the Recruitment Lead and CPO on a weekly and monthly basis.

  • Publish and edit job adverts on both external job boards and on Personio, and create Teams posts to inform the wider company about new vacancies.

  • Provide general admin and upkeep for the job boards used by Shaw Gibbs for recruiting (Indeed, LinkedIn, ACCA, ICAEW).

  • Assist with facilitating technical assessments for candidates, both face-to-face and remotely.

  • Use Thomas International to send PPA questionnaires to candidates being progressed. Pull and save candidate PPA reports, ensuring they are ready ahead of face-to-face interviews.

  • Manage initial communication with recruitment agencies and candidates, either on the telephone or by email.

  • Scan and save written interview notes into the relevant folders on the recruitment SharePoint drive.

  • Ensure our tracker spreadsheets are maintained and kept up-to-date.

  • Ensure our Recruitment systems and files are kept up-to-date, accurate, and compliant with our Data Privacy policy and GDPR.

    Someone who is seeking an entry level role in Recruitment or a new Recruitment admin opportunity. You might also be someone with an admin background keen to make the move into Recruitment.

  • A minimum of 3 A-levels at grades A, B, B (or equivalent).

  • A university degree with a 2:1 or above is desired but is not essential.

  • Super organised, able to juggle multiple tasks simultaneously.

  • Able to prioritise workload effectively and work in a flexible manner.

  • A proactive individual who doesn't need to be micro-managed.

  • High attention to detail and accuracy.

  • Strong communication skills, both written and verbal.

  • Enjoys a fast paced work environment.

  • A self-starter with a with a high level of resilience.

  • Demonstrates a strong team spirit but also very effective working independently.

  • A can do attitude, positive and with a strong desire to learn and develop.

  • Strong aptitude for IT - good with Excel and able to pick up new tech quickly.

  • Confidentiality is paramount in Recruitment you will need to be tactful and have a discreet manner.

  • Previous Recruitment/HR Admin experience would be great but is not required., A-Level or equivalent (preferred)
