Full Job Description

  • Reception - meeting and greeting potential tenants, clients, contractors and members of the public

  • Telephone - answering and transferring calls

  • Secretarial - audio typing, filing, archiving, scanning, emailing, binding reports, key management

  • Work Orders - issuing instructions to contractors as directed

  • Diary Management - recording annual leave, booking meeting rooms

  • Utilities


  • Ø downloading utility invoices from online portals and checking accuracy prior to passing for payment.

    Ø liaising with Utilities to transfer accounts

    Ø inputting monthly electricity meter readings to online portals
  • Building Maintenance - requesting the Maintenance Team investigate maintenance issues

  • Office Management - purchasing stationery, kitchen and general office supplies

  • Invoices - scanning weekly batches of invoices and emailing to external accounts agents

    Due to the retirement of the existing Office Administrator in August 2024 after over 10 years we are seeking a confident and conscientious individual with a wide range of administrative skills, who has an eye for detail and an ability to work within a small team.


  • The full-time position is office based with the candidate providing varied administrative assistance to the company's two Chartered Surveyors in letting vacant buildings and managing and developing the Estate.,
  • proven experience as an office administrator

  • exceptional phone etiquette and customer skills when talking to clients, service providers and the public both by telephone and in person

  • good written and verbal communication skills

  • experience and competence in audio typing with a high level of accuracy

  • competent using Microsoft Outlook, Word and Excel

  • experience working with databases and website maintenance would be advantageous, GCSE or equivalent (preferred)

    We are a small commercial property management company retained to manage and develop the Thorp Arch Estate on behalf of an institutional client. The Estate is located 2 miles east of Wetherby and comprises almost 2 million sqft of commercial buildings within a 385-acre parkland setting and has seen significant investment in developments in recent years.
