Full Job Description

Due to these ongoing and exciting growth plans, Cerca are now currently recruiting for an Office Manager to join the team. The opportunity is to not only join the Company in a very busy, interesting role but also to influence the direction of the position, the department and Cerca itself as it continues to expand.

As an Office Manager, you will work across all aspects of the business; primarily providing administrative support to the Cerca team to ensure efficient business operation. Due to Cerca being a small but expanding team, this is a very busy role that has to cover a broad range of tasks; therefore requiring a candidate who is proficient at task management, a team player, adaptable, and has a willingess to learn and challenge themselves. The Company is willing to support candidates who wish to study relevant professional qualifications.

Key Tasks/Duties of this role:

  • Ensure that the office runs smoothly and is managed correctly in all areas of administrative and facilities support

  • Assisting the management team with various tasks, such as:


  • o Email inbox monitoring

    o Calendar scheduling and booking of internal/external meetings

    o Compiling of reports and presentations for meetings
  • Monthly processing of expenses and purchase order processing for the team

  • Managing everyone's holiday calendar

  • Dealing with complex travel arrangements for the team, including visas

  • Processing invoices and raising PO's, plus basic finance administration

  • Act as a point of communication for the office; answering, filtering and directing phone calls, accommodating visitors

  • Ensuring the office is stocked with necessary supplies, maintaining Health & Safety, facilities and IT support, handling post, etc

  • Organising refreshments / lunches for both office staff and visitors when necessary

  • Developing, proof reading, editing and preparing correspondence using MS Word and Powerpoint

  • Anticipating office / staff needs and following through on all assigned tasks

  • On boarding and off boarding employees, assisting with HR administration

    Relevant business management/administrative qualifications

  • 2-5 years experience in a relevant administrative role, with demonstrable experience of ability to multi task in a busy environment

  • Experience of basic finance related administration

  • High level IT skills in all word packages

  • Strong verbal and written communication skills

  • Natural organisor - able to work to multiple deadlines and work well under pressure

  • Excellent administration skills and attention to detail

  • Able to work independently and also to support the team

  • Ability to take ownership and resolve issues, prioritising where necessary

  • Pro-active and flexible in approach, positive in attitude

  • Ability to interact in a discreet, professional and diplomatic manner

  • Smart in appearance, able to represent the Company in a professional manner


  • Desirable Skills:
  • An HR qualification or relevant HR experience would be an advantage

  • Experience of ERP systems

  • Experience of following or implementing document control procedures, A-Level or equivalent (preferred), office administration: 3 years (required)

  • Cerca Magnetics Limited (Cerca) was founded in 2020 and works in partnership with The University of Nottingham and Magnetic Shields Limited. The team have commercialised the world's most advanced functional brain scanner - a lightweight wearable device that uses Optically-Pumped Magnetometers (OPMs) to measure the magnetic fields within the brain. Unlike other scanners such as MRI's, our system can be worn by both adults children as the participant can move about whilst being scanned. The information provided could contribute towards medical advances in treating epilepsy and other neurological conditions such as mTBIs and dementia. We are currently working towards gaining medical approvals for use in epilepsy diagnosis and treatment.

    Following initial sales in the research market, Cerca's vision is to offer the system to healthcare providers around the world and revolutionise functional brain imaging; to make a real difference to those that suffer from debilitating neurological problems. We share a dream of contributing towards the treatment of a young child who instead of facing a life suffering from daily epileptic seizures, could live their life free from the condition.

    Pay: £25,000.00-£30,000.00 per year
